Audience: Administrators
Overview
The Fields & Formulas panel displays all of the fields and formulas available for the Base chart selected in the chart dropdown menu. In the Fields & Formulas panel, Administrators can:
- Define static formulas
- Define dynamic formulas
- Modify field properties (i.e. Label, Field Type, etc.)
Note
New, non-formula fields can be created for a specific chart by using an Append table.
Accessing Fields & Formulas
1. Click on the Settings button in the bottom right corner, and then select the Chart Settings option from the list.
2. Navigate to Fields & Formulas and then from the Create formula drop down button select Dynamic formula or Static formula.
There are two categories of formulas that administrators can create:

Static Formulas- Formulas that are calculated based on a defined scope. This type of formula can be used for metric tracking in Planning. OrgChart recommends using Static Formulas whenever possible.
- Dynamic Formulas - Formulas that are calculated based on the present data. This type of formula can be used in custom charts to calculate rollups, and will automatically update as boxes are moved, deleted, or added.
Predefined Formulas
OrgChart comes pre-loaded with system formulas that cannot be edited. The following predefined formulas are available in all accounts:
Headcount | Number of direct and indirect subordinates that report to a manager. Count also includes the manager. |
Level | The org chart level on which a box resides (e.g. CEO on level 1, Vice Presidents on level 2, Directors on level 3) |
Peers | Number of boxes that report to same manager as the current box. |
Span of Control | Number of direct subordinates that report to a manager. |
Subchart Level | The display level on which a box resides (top box is level 1, subordinates to top box are level 2) |
Subordinates | Number of direct and in direct subordinates that report to a manager. |
Important
Any new fields or formulas that you create cannot have the same name as pre-defined formula. Always ensure that you are using unique names for each new field or formula that you add to your charts.
Field Types and Properties
Field Types refer to how a field or custom formula is interpreted by OrgChart. Field properties determine how a field is displayed when used in the profile, box styles, or on a background.
To modify a field's type or properties, hover over the field, and then click on the pencil icon.

Field Properties
Some field properties are specific to each field type, and some are common across all field types. The following options are available:
Common Field Properties
The following options are available for all fields and formulas:

Field Label - The field label allows you to set an alternate name for a field.
For example, a simple label such as "Compensation" could be set to override the underlying field name of "Annual_Comp_USD."
Text field properties
The following options are available for Text fields created in the Document Settings: Fields & Formulas panel:

Link Type - Determines the action when you select a field displayed in a chart box. By default, no action is performed.

Hyperlink - Launch a hyperlink in a new browser window

Email - Send an email to the associated email address

Phone - Call using default phone application

Skype - Call using Skype

Break Characters - Set which characters are used for text wrapping
For example, you can break on the "@" sign for email addresses. Multiple characters can be set.

Picklist - Make the field a picklist, so that only the options that you enumerate are available for selection when using this field in Planning and or in Append Tables. Reference the Picklist article for more information.
- List - Make the field a list field, so that you can search for individual values within a delineated list of values. Reference the List Fields article for more information.
Number field properties
The following options are available for Number fields:

Set the number of decimal places shown (0.00 vs 0.0)

Set Prefix character to be shown before a number (for example, "$")

Set Postfix character to be shown after a number (for example, "USD")

Set number to be shown as a percentage (for example, 0.2 is shown as 20%)

Use 1,000 Separator (1,000 vs 1000)
- Picklist - Make the field a picklist, so that only the options that you enumerate are available for selection when using this field in Planning and or in Append Tables. Reference the Picklist article for more information.
Image field properties
The following options are available for Image fields:

Follow a URL to retrieve an image (for example, http://orgchartguide.wdfiles.com/local--files/workwphotos/jsmith.jpg)

Follow a Path within your account to retrieve an image (for example, "Photos:jsmith.jpg" will retrieve an image from the Photos directory)
Date field properties
The following options are available for Date fields:

Treat UTC 0 as local browser time
- Setting this options will display dates according to your Date format setting in the Account Settings: Theme panel.
- Setting this option will allow you to use this field for data calculations
